Hotel Terms and Conditions

Reservation

For individual bookings, a deposit covering one night is required, either by bank transfer or by credit card (deposits will be deducted from the final hotel bill when paid by the participant directly to the hotel upon departure). Your reservation will be confirmed when MCI Suisse SA has received your accommodation booking together with your hotel deposit. Please be aware that all extras you might incur during your stay (i.e. mini-bar, laundry, telephone, etc.) have to be paid directly to the hotel upon your departure.

For small group bookings (from 2 to 8 rooms), a deposit payment for the total stay must accompany your reservation. Your booking will be confirmed upon receipt of your hotel deposit.

Large groups (more than 9 rooms) will be handled by separate contracts. Please contact MCI Suisse SA hgm2014reg@mci-group.com.

Any inquiries or requests for additional information, changes or cancellations of room reservations are to be addressed directly to MCI Suisse SA at hgm2014reg@mci-group.com

Change of hotel booking

All changes to hotel reservation must be done through MCI Suisse SA. Please DO NOT contact the hotel directly. All changes must be requested in writing.

A handling fee of CHF 30.00 per hotel room will be charged for every hotel modification received after 17 April 2014.

Cancellation of accommodation

In the event of cancellation up to 5 days prior to arrival date, no charge will incur. From 5 days prior to arrival date, one night will be charged in case of cancellation.

Please note that in the event of late cancellations (from 5 days prior to arrival date) MCI Suisse SA reserves the right to charge the full stay for any cancelled rooms, cancelled nights or no-shows if the hotel room cannot be resold.

The hotel may reserve the right to charge the full stay upon check-in. Each hotel has its own independent policy.
The hotel may charge or block an amount on your credit card to guarantee the extras. Each hotel has its own independent policy.

Check-in/Check-out time

Hotel check-in time is 15:00 or later. If arriving after 20:00, please notify MCI in advance. Extra costs may be applicable for any early check-in. For further information, please contact MCI at hgm2014reg@mci-group.com.   
Hotel Check-out time is 11:00 or noon depending on the hotel’s policy. Extra costs may apply for a late checkout. Please contact MCI at hgm2014reg@mci-group.com.

Group reservations

Small groups
For small group bookings (from 2 to 8 rooms), a deposit payment for the total stay must accompany your reservation. Your booking will be confirmed upon receipt of your hotel deposit.

Large groups
If you would like to book 9 or more rooms, there is a special group service open to you. For more information, please contact our group reservation department by phone +41 22 33 99 721, or by fax +41 22 33 99 631 or e-mail us directly at hgm2014reg@mci-group.com to the attention of Vanessa Bloch.

Methods of Payment

Payment of registration and hotel deposit may be made by:

Please take note that online payments by credit card require “3D Secure” identification. We kindly ask you to take note of the below information before you proceed to your payment.

Important Information on 3D Secure: 3D Secure (also known as Verified by Visa, Mastercard Securecode) is an authenticated payment system that offers added security for your online purchases. During payment, your bank checks the card holder’s identity before validating the transaction.

After validating credit card details you are transferred to your bank’s website. A 3D Secure window appears and you are asked to follow an authentication procedure which differs for each bank. You may be asked to:

  • Enter your date of birth
  • Enter a code you have received by SMS
  • Answer a secret question, etc.

After confirmation from your bank, your payment is validated and your transaction completed. Your booking will be confirmed. Please direct any questions about 3D Secure (obtaining a code, lost code, changing your code, etc.) or the authentication process to your bank.

General Hotel Conditions

Force Majeure

MCI Suisse SA and the Hotel will not be held responsible for either the partial or total non-execution of the contract in the event of accident, an act caused by a third party, or in case of major force such as: special measures taken by the government or local authorities, total or partial strike, lockout, fire, threats to public safety including terrorism, war, health hazards, natural disasters, flood, or some other comparable event or disaster which prevents the Hotel from accommodating the clients of MCI Suisse SA for the event or if for the same reasons the event is cancelled by MCI Suisse SA.

Closure of a Hotel

Should above mentioned offered hotel(s) close between the date the contract was signed and the start of the event, MCI Suisse SA will do its utmost to offer alternative options to the client. If the client confirms such an alternative option, MCI Suisse SA will not be responsible for any difference in rates. Should the client decline the option and book in another hotel outside of MCI’s block, pre-payments made by the client for the closing hotel(s) would be reimbursed by MCI Suisse SA.

Insurance and Liability

It is recommended that participants obtain adequate cover for travel, health and accident insurance before they depart from their countries. HUGO and MCI as organisers cannot accept responsibility for personal injuries, or loss of, or damage to, private property belonging to the conference participants and accompanying persons.
